This Privacy Policy explains how we collect, use, disclose, and protect your information when you use the Roam Ready website, mobile application, digital travel products, and related services (collectively, the "Services").

We collect information that helps us provide and improve our Services.

Information You Provide

Depending on how you use Roam Ready, you may provide: name, email address, phone number (optional), password (stored securely through our authentication provider), traveler information, travel dates, destinations, trip preferences, reservation details, budget information, notes, uploaded photos, custom activities, support requests, planning questionnaires, and booking requests. If you purchase optional planning services, we may also collect information needed to complete those services.

Account Information

When you create an account, we collect information necessary to authenticate you and provide access to your purchased trips. Each traveler invited to a trip maintains their own individual account.

Payment Information

Payments are securely processed by third-party payment providers. Roam Ready does not store your full credit card number or payment credentials. We may receive limited transaction information such as purchase amount, payment status, order number, and transaction date.

Automatically Collected Information

When you use the Services, we may automatically collect: device type, browser type, operating system, IP address, general location based on IP, app version, crash reports, usage analytics, log files, pages visited, features used, and referral source. This information helps us improve the reliability and performance of the Services.

2. Trip Information

Roam Ready stores information related to your purchased trips, including: trip dates, destinations, reservations, custom itinerary edits, traveler invitations, traveler roles, shared itinerary content, personal notes, personal budget entries, checklist progress, and uploaded photos.

Shared trip information may be visible to other travelers who have access to the same trip. Personal information such as private notes, personal budget entries, and notification preferences are intended to remain visible only to the individual traveler unless otherwise indicated within the app.

3. How We Use Your Information

We use your information to: provide your purchased trips, synchronize your account across devices, personalize your travel experience, process payments, send purchase confirmations, deliver trip invitations, respond to support requests, provide booking and customization services, improve the Services, detect fraud and unauthorized access, maintain system security, and comply with legal obligations.

4. Traveler Invitations

Trip Owners may invite additional travelers by entering their email address. Invitation emails are used solely to provide access to the purchased trip. Invited travelers create or sign in to their own Roam Ready account before gaining access. Roam Ready does not make invited travelers' email addresses publicly visible.

5. Booking Concierge & Trip Customization

If you request optional planning services, we may collect additional information necessary to provide those services, including: lodging preferences, flight information, transportation preferences, accessibility requests, activity interests, budget goals, dietary restrictions you voluntarily provide, and other trip-planning details you choose to share. We use this information only to provide the requested planning services.

6. Cookies & Similar Technologies

We may use cookies and similar technologies to: keep you signed in, remember your preferences, improve website performance, measure usage, and enhance security. You may configure your browser to refuse cookies, although some features may not function properly.

7. Analytics

We may use analytics services to better understand how our Services are used. Analytics may collect information such as: session duration, device information, browser information, feature usage, and error reports. Analytics data is used to improve the user experience and is not used to sell your personal information.

8. Location Information

If you choose to enable location services, Roam Ready may use your device's location to provide features such as: nearby emergency services, maps, navigation, and location-based travel information. Location access is optional and may be disabled through your device settings.

9. Third-Party Services

Roam Ready works with third-party providers to deliver portions of the Services. These providers may include: payment processors, mapping services, weather providers, National Park Service, authentication providers, cloud hosting providers, email delivery providers, and analytics providers. These providers process only the information necessary to perform their services. Their use of your information is governed by their own privacy policies.

10. Sharing Information

We do not sell your personal information. We may share information only when necessary to: process payments, deliver planning services, authenticate users, send emails, provide mapping and weather services, comply with legal obligations, protect our legal rights, and prevent fraud or abuse. We may also share information if required by law or valid legal process.

11. Data Security

We use reasonable administrative, technical, and physical safeguards to protect your information. While no internet transmission or electronic storage method is completely secure, we work to protect your information using industry-standard security practices.

12. Data Retention

We retain your information only as long as reasonably necessary to: maintain your account, provide purchased trips, meet legal obligations, resolve disputes, and enforce our agreements. If you delete your account, certain information may be retained for legal, accounting, fraud prevention, or business recordkeeping purposes where permitted or required by law.

13. Your Choices

Subject to applicable law, you may: access your account information, update your personal information, change your password, remove personal notes, manage traveler invitations (Trip Owners), delete uploaded content, and opt out of marketing emails. Service-related emails, such as purchase confirmations, invitations, and important trip updates, may still be sent when necessary.

14. Children's Privacy

Roam Ready is not directed to children under the age of 13. We do not knowingly collect personal information directly from children under 13 without appropriate parental involvement. Parents or guardians who believe a child has provided personal information may contact us to request its deletion, subject to applicable legal requirements.

15. International Users

If you access the Services from outside the United States, you understand that your information may be transferred to and processed in the United States, where data protection laws may differ from those in your country.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the Effective Date at the top of this document. Your continued use of the Services after changes become effective constitutes acceptance of the updated Privacy Policy.
